OPS Supervisor / Senior OPS Supervisor
Job Purpose:
Assist OPS Manager with all aspects of the Export and Import OPS Department. This role will be
responsible for planning the most appropriate route for a shipment, cost, transit time and security of the
cargo. This role works closely with CS team, overseas offices, internal stakeholders, and third parties.
Main Duties and Responsibilities
 Manage Export and Import of time-critical and temperature sensitive shipment
 Obtain a booking with the airline and consign the MAWB as instructed
 Maestro Update (Route-leg, Clearance Status etc) and monitoring flight departure and arrival
 Send the Pre-Alert through Maestro
 Checking freight cost and airline negotiation
 Arrange export clearance with custom broker
 Confirm that the shipment is OK to Send to final destination and obtain MAWB consignment
instructions
 Acknowledge Maestro pre-alert and check pre-alert document
 Checking shipment arrival, Import Clearance and recovery status and update Maestro
 Send pre-alert document to custom broker and handle requirement for import declaration.
 Monitoring import shipment clearance and set required action on delayed shipment
 Give instruction to warehouse/transportation team for repacking, replenish dry ice and
document update etc
 Import issue handling (EDI error etc)
 Condition shipments as required and update the proper milestones in Maestro
 Coordinate with Dispatch the drop off to the Airline
 Use the Marken Export Daily Schedule Report and update Maestro with all the departures from
the local airports
 Keep updated export flow chart.
 Make sure all exported shipments have an adequate validity time.
 Proactively provide pricing alternatives, routing solutions and technical assistance to clients
through internal sales both regional and global.
 Support to set up Marken import / export operations department.
 Understand department process flow, constantly looking for areas of improved efficiency.
 Monitor compliance at all times to regulations. This includes internal policies and procedures
such as SOP and external government regulations or customer policies/requirements.
 Support manager including building and maintaining strong relationships with vendors(airlines,
trucking companies and others)
 Set clear team goals
 Delegate tasks and set project deadlines
 Oversee day-to-day teams' operation and performance
 Do regular performance evaluation
 Communicate with teams about their performance

 Monitor team performance and report on metrics
 Motivate team members
 Discover training needs and provide coaching
 Listen to team members' feedback and resolve any issues or conflicts
 Plan and organize team-building activities
 Define the best possible route to dispatch the shipment to its final destination
Requirements
 Experience with export and import
 Experience with serving as a liaise with customs brokers to pre alert imports and follow up on
clearance status
 Air freight/Freight forwarding experience
 Good customer orientation
 Ability to Guide and delegate
 Great organization skills and leadership
 Ability to set goals for improvement and development
 Good knowledge of IATA regulations, including Transportation of Dangerous Goods (if
applicable)
 Requires specific skills and knowledge in the use and application of proprietary software,
Internet and MS Office applications
 Good problem-solving skills are required in identifying and alerting others to operational
problems
 Excellent communication skills. Both written and verbal are required to convey and clarify
routine information
 Ability to work independently or as part of a team
 Good organization and time management skills
 High cooperativeness
 Attention to detail
